Compensation: $100,000–$150,000 base + bonus

About the Role:

We are seeking a dynamic and highly organized Office & Facilities Manager to join a fast-paced, collaborative, and high-performing environment in Midtown Manhattan. This role combines traditional office management responsibilities with facilities oversight—particularly focused on supporting and executing an office relocation project.

The ideal candidate has experience in both areas, is a self-starter who thrives in a fast-growing company, and is eager to take ownership of workplace operations. You’ll work closely with teams to ensure a seamless transition into a new space and an excellent day-to-day office experience.

Key Responsibilities:

Office Relocation & Facilities Oversight

  • Lead the coordination and execution of an office move to a newly built space
  • Oversee final stages of construction, including installation of trading desks, build-out of private offices and collaboration rooms, and IT infrastructure.
  • Serve as liaison between internal stakeholders and external partners such as contractors, engineers, property management, and vendors.
  • Understand and track building systems such as HVAC, sprinklers, tile/carpet installation, and security protocols.
  • Coordinate move logistics, manage space planning and seating assignments, and troubleshoot post-move issues.

Ongoing Office Management

  • Manage day-to-day operations for the New York office including catering, packages, supplies, vendor relationships, and general office needs.
  • Develop and maintain local office policies and processes in alignment with the company’s standards.
  • Monitor vendor SLAs and KPIs, track office expenses, and manage the local operations budget.
  • Support hospitality functions for visitors, candidates, and internal staff.
  • Ensure a consistent and high-quality workplace experience for employees as the team scales to ~100 staff.

Collaboration & Reporting

  • Report to the Senior Office Operations Manager (based in Chicago) while serving as the primary onsite point of contact in New York.
  • Regularly communicate with cross-functional teams, including IT, security, and leadership, to support office infrastructure and business continuity.
  • Work closely with the office operations team in Chicago and participate in regular team strategy discussions.

Qualifications:

  • Minimum of 5–8 years of relevant experience in office and facilities management, ideally in a fast-paced or high-performance industry.
  • Experience managing or supporting commercial construction/office build-outs and relocation projects.
  • Strong organizational and vendor management skills.
  • Familiarity with basic building systems (HVAC, security, engineering) and commercial lease/building operations.
  • Able to work independently, manage multiple priorities, and lead projects with minimal supervision.
  • Comfortable working occasional evenings or weekends during high-demand periods (e.g., move-in, construction milestones).
  • Polished communication skills; able to interface with senior leadership and external partners confidently.
  • Experience with a growing company or entrepreneurial environment a plus.
